ChatGPT Tasks turns the AI chatbot into a productivity platform -- 3 tips to get more out of it
OpenAI is slowly entering the "agent era" of artificial intelligence with the launch of ChatGPT Tasks. This new beta feature lets you assign tasks that the chatbot can run in the background and then gives you the requested information at a set time and date. I have a task setup for ChatGPT to trawl the web for AI-related news stories about specific products such as ChatGPT, Claude and Runway. It then compiles a report and sends it to me at 9am every morning. It doesn't do a particularly good job as it pulls in older stories, but it's a start. This is the first step towards true agent behavior, where you can send the AI off to perform actions on your behalf and not just set reminders. ChatGPT Tasks is a slightly more natural and intuitive version of a to-do list you can already add using Alexa or Siri. ChatGPT Tasks' main advantage is the ability to set a task by simply having a conversation. It can then utilize the various features of ChatGPT such as live web search, a complex language model and tools to send you details. It is also linked to web, desktop and mobile notifications. Tasks is an interesting concept and takes ChatGPT further into the realm of becoming a true productivity platform. Adding personal assistant-like features makes it possible for users to get more of their work done within the ChatGPT app. But, it is still a beta technology and has some limitations, and quirks you need to navigate to get it to work. In my experiments, I found you have to be very specific in your instructions. For example, if you're asking it to produce a list of news stories on a specific topic you have to specify that the list should only include stories with a publication date in a set timeframe (say 24 hours). It also helps to include some negative prompting such as what you don't want it to include and to specify the format it should display the information. One example of this could be in stocks where you ask it to display the 10 best-performing tech stocks of the past 24 hours with change over 24, 48 and 72 hours displayed in a table. This is more of an extension to the be specific requirement, but basically, if you want it to use the ChatGPT Search function in your task, make sure you specify it. The same applies if you want it to generate an image and send it at a set time. Outline exactly how you want the information to be displayed. For example, if you want it to generate a dozen jokes every evening to share over dinner, you might ask for it in a bullet list. If you want to have it create a report on air quality in five cities, you'd specify a table as the output. You can always just re-prompt it or ask for specific changes once the first report comes back. Or, you can just use the prompt without the task and see what ChatGPT produces, as that will be more or less what you get with the timed response. If it comes back looking like a garbled mess, keep refining the prompt until you get exactly what you are looking for, then paste that exact prompt into ChatGPT with Tasks + a date and time. This is an early beta of a new feature that in future could see the AI able to send emails on your behalf to certain people at certain times, make updates within another application or add events to your calendar, retrieve events and even go to meetings for you and send a summary.

You Can Now Schedule Recurring Tasks and Reminders With ChatGPT
ChatGPT is taking a big step towards becoming your go-to digital assistant with its new Tasks feature. With it, you can set reminders and recurring tasks with the bot. Mind you, this won't replace your Reminders app: The Tasks feature is currently only in beta, and is available for ChatGPT Plus, Pro, and Team users on iOS, Android, macOS, or on the web. OpenAI also plans to release this feature to everyone with a free ChatGPT account, when the stable release rolls out. ChatGPT Tasks can be used to set simple reminders, like you'd ask Google Assistant or Siri, and the ChatGPT app will send you a notification with the reminder in question. But what's more interesting are the recurring tasks. You can do some prompt engineering and ask ChatGPT to do tasks for you at a particular time every day, or once a week, and it will perform those actions for you. And because it can trigger any prompt at a given time, you can ask it to do things like summarize the day's news (pulling from the open web using ChatGPT Search), create a new 10-minute workout each day, or give you a motivational quote every morning. You can create a new task from any conversation, but it might be better to create a new conversation for this. When you're in the conversation view, click the ChatGPT model option at the top, and switch to GPT-4o with scheduled tasks option. Write out your reminder or a recurring task. In my testing, I found that this works best when your prompts are detailed. Then, ChatGPT will show you a new task box. You can click on the task box to expand it. Here you can easily change the prompt, time, date and frequency. If you want to pause a task, click the three-dotted Menu button and choose Pause. Now, just wait. When the time is up, you'll get a notification from ChatGPT (this works best if you're using the ChatGPT app on your Mac or smartphone), and when you select the notification, ChatGPT's response will be ready. You'll even get an email from OpenAI confirming the task was completed. To view and manage all your tasks, select the Profile icon from the ChatGPT website or app, and choose the Tasks option. This is where all your tasks will be listed. You can easily edit, pause or delete tasks from here. So in this guide, we have added detailed instructions on how to schedule and run tasks in ChatGPT. In addition, you can set reminders and manage all your tasks. On that note, let's begin. Before we begin, make sure you are subscribed to ChatGPT Plus, Pro, or Team plan. ChatGPT Tasks is only available to paid users. Apart from that, make sure you are using the ChatGPT app on Android, iOS, and macOS. You can also use ChatGPT Tasks on the web. By the way, ChatGPT Tasks is currently not supported on the Windows app. With that said, here are the steps to follow. Since the first AI-powered smartphone tools popped onto the market, I've been trying to find the perfect chatbot to become my very own personal assistant, able to learn everything that I tell it and cleverly remind me when I need important information. At the end of last year, I stopped using my trusty task manager apps like Things 3 and Siri to see what OpenAI's chatbot was truly capable of. After a day without notifications and reminders, I canceled the challenge and returned to my regular workflow, after all, using an app to help take control of my life that can't remind me of anything was a complete dealbreaker.
