I spoke with Robbie O'Connor, General Manager EMEA at Notion to discuss this vision further. The platform has undergone a number of iterations since it was founded. After gaining popularity among the design-focused startup community in Silicon Valley, design influencers and YouTube creators made tutorials showing how they used Notion for productivity, helping Notion to establish itself as a serious tool rather than just another note-taking app. The updated platform that incorporates Notion AI integrates powerful search, content generation, and analysis tools directly within Notion's all-in-one workspace. The aim is to offer some relief to businesses drowning in app overload and looking to consolidate without sacrificing functionality. AI has had its over-the-top debut. But as O'Connor pointed out: Businesses are stepping back from the AI hype to assess practical use cases and what will make a positive impact on their day-to-day operations. He explained: The Octa Business Report from 2023 mentioned that companies rely on a growing number of applications in their business. There's an average of 69 apps at smaller companies, and it can be up to 211 apps at companies with over 2000 employees. So I think that's where we foresee a period where the rebounding era will come fast and there will likely be a consolidation of tools as well. Notion covers use cases across the board where many singular tools would have been required. For enterprises, this means fewer apps, fewer licenses, and, frankly, fewer headaches. One of Notion's traits is that it doesn't assume users have a lot of time (or inclination) to learn a new tool. O'Connor emphasized the freedom of choice: Whether you're technically astute or just starting out, Notion allows users to create their work the way they want to. This balance -- intuitive for beginners, customizable for professionals -- has helped the platform grow from a niche favorite to more of a mainstay, adopted by Figma's design team, Match Group and Buffer. O'Connor commented that Notion has always benefited from a two-way exchange with its user base, and was able to point to user-created templates that Notion often incorporates into its official offerings. He added: There are new generations joining the workforce all the time and we've moved beyond an era where people are satisfied with working in very templated formats, or working with technology that forces you to work in a certain way. People are getting savvy around the technology they want to use. Ultimately, they like the ability to customize their software to the way that they want to work. AI's promises have always come with a side of skepticism -- especially around privacy. O'Connor addressed this directly: No data inputted to Notion AI is shared for training purposes, and our platform only accesses information users have permission to view. Notion also provides transparency reports and custom consultations to help organizations implement the right guardrails. Does it deliver on its claims? O'Connor had plenty of examples to share: a legal tech firm in the UK that saves seven hours monthly per lawyer by automating compliance queries; Pinecone, an AI provider, boosted its sales activity eightfold using Notion AI to draft client communications; DBT Labs in Europe cut down on back-and-forth emails, saving thousands in software costs by consolidating tools. It's not just startups reaping the benefits, as O'Connor remarked that Notion is also gaining traction in more traditional industries, including the automotive sector. While positing AI as a solution to workflows, how does this impact human creativity? O'Connor said that Notion sees AI as a partner, not a substitute: We feel that with AI tools becoming ubiquitous, it's critical to amplify creativity rather than replace it. Given the proliferating AI assistants and co-pilots being engineered into application releases, the AI productivity space has been getting a little crowded. And while these tools claim to save time, it would be naive to ignore misgivings about how beneficial these tools really are if every application has one. Notion's flexibility and connectivity helps it to position itself as a reliable partner for helping to navigate that minefield. Its stance on privacy and security is reassuring, as is its dedicated user base, with customers advocating for Notion's ability to keep workflows intuitive, private, and supported in a community of use cases. Perhaps there's still some cause for optimism among the AI productivity hype.
