I would create documents, save them, and then, if I needed to extract meaning or connect ideas across multiple files, it became a manual and often frustrating process. Most users should be completely fine with the first trick as it doesn't require messing with Google Docs and Drive. Yes, it's a workaround, and it took a few tries to get into the habit, but the real-time insights and organizational power of NotebookLM are so significant that I have easily adopted this extra step. Utilizing NotebookLM features Retrieve useful insights in no time The real magic starts once you start using your Word documents with NotebookLM. Let me give you a recent example. I was working on a client's new website called 'Swami Jewels.' And as anyone building a new website from scratch knows that the documentation pile grows in no time. I had a whole collection of Word documents: the initial website overview, detailed client meeting notes, our comprehensive marketing plan, competitor analysis report, and even some early content drafts. I took all those individual Word files and, with a few clicks, exported them to PDF. Then, I simply uploaded every single one of those PDFs into a dedicated 'Swami Jewels' notebook within NotebookLM. Now, instead of manually finding relevant information across all documents, I can ask NotebookLM questions like: * What are the key takeaways from all the client meetings regarding design preferences? * Summarize the proposed budget for digital marketing from all relevant documents. * Generate a quick briefing document outlining the core features of the website. * Get me the project timeline for phase 2. Finding the best PDF editor for your Mac can be a challenging task. After all, countless companies offer all sorts of different apps that cater to various budgets and workflows, and things can get confusing real fast. However, there are a few options that stand out in terms of features, performance, and design. Readdle's PDF Expert is one of my personal favorites, as, in my opinion, it has mastered the PDF editing format. PDF Expert offers two payment options on macOS. For a one-time $139.99/£139.99 fee, you could own a lifetime license of the current Mac edition, but miss out on future updates, mobile support, and the AI integration. Alternatively, you could pay $79.99/£72.99 per year to run PDF Expert's latest, full-fledged versions across iOS, iPadOS, and macOS. Readdle also offers eligible students and educators a 50% discount on its annual plan. There is also a free 7-day full-functioning trial you can download from Readdle's website. Notably, PDF Expert isn't available on Android or Windows devices. When you launch PDF Expert on your Mac, you'll be greeted by a Tools tab that highlights shortcuts to some of the app's handiest features. The list includes actions to organize, optimize, protect, review, or convert a certain document. You could also start from scratch by creating a blank PDF file if you don't want to edit an existing one. The shortcut buttons are well-categorized and color-coded, making it easy to visually identify a certain action and directly jump to it. The app itself also runs fluidly and follows modern design guidelines. So, you likely won't face any lags, glitches, or archaic user interface elements. Once you load or create a document in PDF Expert, the app will surface a toolbar towards the top of the screen. On its left, you've got layout settings, which allow you to control the number of pages displayed at once, view bookmarks and the outline, in addition to inserting, deleting, or rotating pages. On the right side, the toolbar offers an advanced search bar and an AI Chat button. Clicking the latter starts a conversation with the integrated chatbot. You can ask it to summarize the PDF, list key points, generate hashtags, and much more. Once it answers your question, it'll also link to the document page(s) it based its response on, which makes locating relevant information in large files much simpler. Finally, the toolbar's center packs the most commonly used PDF editing functionalities, including annotation, editing, file conversion and exporting, signing, optical character recognition (OCR), and more. You also get to easily reorder this section's buttons as desired. Through these features, you can pretty much fully control a PDF file. You get to edit its text and images, sign, fill checkboxes, add links, redact content in multiple ways, insert shapes, highlight text, doodle, and even measure the distance between two points or calculate specific areas. I used the aforementioned tools extensively, and they all worked reliably on my end. In fact, I even tried to overload the app to reveal potential shortcomings or bugs, but PDF Expert didn't disappoint. While apps like Adobe Acrobat offer some more advanced tools that cater to the pros, I do believe that PDF Expert's features are more than enough for most users. Through it, you get to manipulate a document's content by adding or removing any elements, protecting the file with a password, shrinking its size, etc. So, for many users, there's not much to ask for beyond these core functionalities. It should meet (and, in some cases, exceed) the general expectations. Beside the balanced set of tools, PDF Expert is simply pleasant to look at and use. I can't think of a single way Readdle could meaningfully improve the user interface or experience, as the entire app is intuitive to operate -- in my opinion, at least. Despite PDF Expert being a feature-rich app, I didn't come across any overwhelming menus, either. Perhaps the main downside here is the lack of Android and Windows clients, but that's irrelevant to those strictly using Apple products. Some users also won't appreciate that the iOS and iPadOS versions are only available through a recurring subscription. Fortunately, Readdle offers a one-week free trial that users can claim without submitting their payment details. That's in addition to a 30-day money back guarantee, in case you change your mind after buying or subscribing to PDF Expert. If I personally had to pick a single document editor to use indefinitely, it would most certainly be Readdle's PDF Expert.

Zoom has launched an AI-powered Microsoft Word competitor

The office software market has been widened a little further with the official release of Zoom's AI-powered word processor, Zoom Docs. Fully unveiled in March of this year, Zoom Docs is powered by the company's Zoom AI Companion, allowing users -- specifically, businesses -- to work more collaboratively within Zoom's video conference ecosystem. Thus, with the AI Companion at its heart, Zoom Docs can do things like generate meeting summaries or create reports or action lists. Participants can create, share, and co-edit documents in real time without leaving the meeting window during meetings. This feature extends to mobile attendees, who can view and collaborate on documents without needing to sign in. Additionally, users can generate editable and shareable documents that include customizable meeting information, simplifying the dissemination of relevant details. Additionally, permission sharing is streamlined with bulk settings -- allowing temporary access for meeting attendees to collaborate during sessions. The best part, as mentioned above, is that since Zoom Docs exist within the company's Workplace ecosystem, documents can be shared seamlessly across Zoom Team Chat, Zoom Mail, or directly in Zoom Meetings, for a more fluid experience. At the time of this writing, Zoom Docs is available right now and is included with all paid Zoom Workplace plans.

When hunting for a reliable PDF editor, you may encounter Foxit's products. The company offers multiple PDF-centric solutions across the common operating systems, catering to different document needs. PDF Reader and PDF Editor are two of Foxit's most popular Mac apps, and they both excel at performing their relevant tasks. Despite being two separate apps, Foxit's PDF Reader and PDF Editor feel like two tiers of the same product. The PDF Reader edition is available on macOS for free, allowing users to view, annotate, sign, and have AI analyze their documents. On the other hand, Foxit PDF Editor unlocks the complete editing toolbox for an annual fee. The base plan currently costs $129.99/£110.05 when paid annually upfront, there is also the option to pay monthly. Before committing to the purchase, you can claim a free 14-day trial to test Foxit PDF Editor's features. Foxit PDF Reader is a free document viewer that supports advanced annotation tools. This lets you control the size, color, and style of inserted text or shapes. The app also packs some handy customization features, such as support for changing the document's background shade, reversing and rotating pages, signing forms, and more. Beyond tweaking the PDF file, this Mac app can read the text aloud, measure distances, calculate areas, magnify selected spots, and have AI analyze your document. Foxit PDF Editor supports all of PDF Reader's features and enables editing functionalities. With support for file conversion, you can export PDFs as Microsoft Office documents, images, HTML files, and more. The app also bundles an optical character recognition (OCR) feature, which lets you select text detected on images. Like most PDF editors, Foxit's app allows you to fully manipulate a particular document's bundled text and images through addition, deletion, or tweaking. You can search and replace text, check for language errors, change the font, fill forms, insert URLs, etc. You also get to reorganize the pages as needed, as you'd expect. Foxit PDF Editor caters to power users, too, with advanced features like document sanitization. These options can remove sensitive information that may be hidden in images or other elements, such as metadata. You can also choose between redaction styles and add different security layers. That's not to mention support for JavaScript and accessibility checks. Perhaps what stood out to me the most in Foxit PDF Editor is its ChatGPT integration. Not only can this AI Assistant analyze and summarize the document, but it can also perform actions on your behalf. So, for example, you could ask it to insert a new page or extract an existing one using natural language. Plus, you get the typical text-related AI tools, such as translation, error detection, tone enhancement, etc. The base plan should suffice for most users, as it bundles pretty much all of the relevant PDF editing features they'd expect. Some Plus plan exclusives include mobile app access, tracking other parties' signatures, smart redaction, 130GB of cloud storage instead of 20GB, and template support. So, if you plan to edit PDFs on your Mac exclusively, the base plan will likely be enough. Otherwise, if you often edit from your iPhone or iPad or collect e-signatures from other people, the Plus plan would be better suited for your needs. Since Foxit doesn't offer a monthly subscription, PDF Editor is aimed at professionals with long-term document editing workflows. Through PDF Editor+, you can access a comprehensive set of features that can adjust compatible documents as needed. While the app is generally swift, the user interface may seem too packed to certain users -- especially those who don't need all of the offered tools. Ultimately, Foxit PDF Editor is designed for serious users rather than those seeking to edit documents casually. If the UI overwhelms you, then this app is likely an overkill for your particular case.
